Two easy ways to send FA the update
- Share a screenshot. Capture the coach’s text and send the image to FA. Use the Additional Information field to clarify anything the screenshot does not show—such as the child, team, or event: “Blue Heat 8th Grade Black” or “This replaces Saturday’s practice.”
- Or record an audio message. Say what changed: “Practice moved to 6:00 at South Field for Blue Heat 8th Grade Black.”
- FA handles the calendar. It matches the update to the existing event, shows the change, and asks for approval only if it is uncertain.

Moved, delayed, or cancelled
The screenshot or audio behind the change
Common problems
The text only says “Practice moved to 6:00”
Use Additional Information to name the child, team, date, or event. FA combines that context with the screenshot and current schedule. If more than one event still could match, it asks before changing anything.
The screenshot includes a private conversation
Crop the image to the relevant message whenever possible. FA only needs the part that explains the schedule update. Use Additional Information to add any team or event context that was outside the crop.
The audio message leaves out the team or date
FA asks for the missing detail instead of guessing or changing the wrong event.
The coach sends another correction
Send the new screenshot or audio message to FA. In Additional Information, note that it replaces the earlier update. FA compares it with the current event and shows what changed again.
If you do this without FA
Read the text, find the correct calendar event, edit the details, and tell everyone affected. Keep the original message so you can explain the change later.
Don’t retype the coach’s text. Hand it to FA.
